Frequently asked questions
Can I define a particular onboarding journey for different firm departments?
Yes. Legl workflows are modular, so you build the journey rather than fitting into a fixed one . For example, your conveyancing can ask for a source of funds check and a TA form, family teams can run enhanced Proof of Address checks, Corporate fee-earners can request incorporation documents. There's no limit on how many workflows you create, and when you build one you choose which departments can see and use it, so teams only ever pick from journeys that are right for their work.
How can I get my engagement letters or terms of business signed?
Legl includes e-signatures as a step in your onboarding journey, so a client care letter, retainer or engagement letter is signed at the same time as their ID check rather than in a separate exchange of emails. Clients are taken straight to the fields that need their signature and can sign from a phone, tablet or laptop with no printing or posting required. You and your client both receive a signed PDF, with a full audit trail on the final page. You can include several signers, who sign in sequence, and store frequently used documents pre-tagged so they're ready to send. Legl also offers Qualified Electronic Signatures, accepted by HM Land Registry for transfers, charges and assents.
Can my firm add payments as part of the client onboarding process?
Yes. A payment request can sit inside the same onboarding journey as your CDD, source of funds, forms or other steps. You can set a fixed amount when you build the workflow or leave it open, and choose whether the funds go to your client account or your office account. The payment shows on both the client's CDD report and your Pay dashboard, and the onboarding request isn't complete until it's paid.
What happens if the client uploads documents that we don't accept?
If your firm uses Risk Rules, you can enforce your firm's policies and risk appetite across client onboarding. Legl's risk agents check each document as it's submitted and remediate with your client in real-time if there are non-conformities. Most problems are resolved by the client before they reach you, cutting down onboarding time and giving your client a better experience.
Does my client receive any help with client onboarding if they get stuck?
Yes your clients are guided through the journey step by step, their progress saves as they go, and their secure link stays live so they can stop and come back. If they need help, Legl's own support team is available to them directly. There's also a client-facing help centre covering the common questions.
How does Legl work if my client doesn't have a passport?
Legl's platform can be configured to reflect your firm's risk policy. Typically, regulated businesses will accept other government-issued documents - Legl supports over 185+ countries, including document types like national identity cards and driving licences, so most clients can verify with what they already have. Your firm can decide what routes are appropriate or what further documentation is required to be collected if the client doesn't have a passport.
Can I white label Legl to look like my own firm?
Your clients see your firm's branding throughout. Onboarding runs on pages that carry your logo, your brand colour and your contact details. You can customise the wording of both the initial request and the reminders, or set a welcome message that greets your clients at the first step in your firm's tone of voice. If your firm operates under more than one brand, Legl can set each one up so your clients see the right brand for the team they're dealing with.
Can I include my own forms for the client to complete?
Yes. Legl's custom form builder and library enable you to create forms such as new client intake, source of wealth, matter-specific questions, consent and policy acknowledgements etc. These can be dropped into any client-facing journey. You can group questions into sections, add your own guidance text, and use conditional logic so clients only see what's relevant to them. You can also ask for a document upload inside a form, and make it conditional too, e.g. only asking for a marriage certificate, for example, if the client confirms they've changed their name.
Does Legl cover Source of Funds checks?
Yes for both residential property matters and for corporate / commercial matters. Clients include information about each source and how much is coming from it, then provide evidence either by connecting their bank securely through open banking or by uploading statements and documentation. Legl's AI reads the statements and surfaces what matters for your review e.g. large one-off payments, or higher-risk activity such as cash, cryptocurrency or foreign currency. Where a transaction looks unusual, Legl asks the client to explain it automatically, so the answer is waiting in the review rather than costing you an email exchange. You get a report for the file, and results feed into your Risk Assessments in Legl.
How does Legl work for major corporate clients?
When firm's search for a business entity, Legl pulls registry data, generates a company report with ownership and financial information, and runs sanctions screening. From there you can see the full ownership structure including directors, shareholders including indirect holdings, and PSCs. You can screen everyone in it in a single action rather than one at a time. Group and holding relationships can be mapped by linking businesses to one another, trusts can be onboarded as entities in their own right with trust deeds analysed to identify trustees, settlors and beneficiaries, and Commercial Source of Funds in Legl enables you to gather the correct information to meet your risk-based processes. Company searches are supported across a wide range of international markets, and businesses stay monitored for ownership, sanctions and financial changes for the life of the relationship.
