For most law firms, getting the right information from a client at the start of a matter has always been harder than it should be. Chasing emails, re-sending PDFs, manually reviewing inconsistent responses etc - it all adds up. The result is slower file opening times, more compliance risk, and a client experience that feels a long way from the seamless digital journey clients now expect.
Legl's custom forms are designed to change that. And with our latest major upgrade which brings conditional logic, flexible answer types, a form template library and deep workflow integration to the table, the gap between what firms need and what their technology can deliver is closing fast.
What Are Legl Custom Forms?
Custom forms are one of the most versatile tools in the Legl platform. They give law firms a purpose-built way to collect information, documents, and declarations directly from clients, in a branded digital experience that fits seamlessly into the firm's onboarding or AML process.
The use cases are broad. Firms use custom forms to:
- Gather matter information: client contact details, matter-specific instructions, counterparty information, and case background
- Run source of wealth checks: collecting structured financial information to support enhanced due diligence
- Conduct KYB (Know Your Business) checks on overseas companies: requesting certified documents, beneficial ownership details, and regulatory information from international corporate clients
- Support AML and CDD workflows: collecting client declarations, risk-relevant answers, and supporting documentation as part of a firm's wider compliance process
- Gather documents at matter opening: requesting certified copies, signed authorities, or regulatory certificates as part of file setup
The common thread across all of these is flexibility. No two law firms ask exactly the same questions in exactly the same way, and Legl's custom forms are built to reflect that.
What's New: A Major Step Forward in Flexibility
Legl has just launched a significant upgrade to custom forms, built around one core goal: giving law firms total control over how they gather information from clients, without the need for expensive consultants or specialist technical knowledge.
Conditional Logic = Smarter Forms, Better Responses
The headline feature of the upgrade is conditional logic. Firms can now configure questions that only appear when a previous answer makes them relevant. For example, ask a client whether they have a beneficial owner with more than 25% ownership. If the answer is yes, follow-on questions appear automatically. If no, the client moves on without seeing irrelevant fields.
This makes a meaningful difference in two directions at once. For the client, the form feels shorter and more intuitive and they're never asked questions that don't apply to them. For the firm, the responses come back more complete and more structured, because every question the client does see is directly relevant to their situation.
A Full Form Template Library
With the latest release, law firms can now build and manage their own library of ready-to-use custom form templates. Rather than building a new form from scratch each time, firms can create a set of standard templates e.g. a source of wealth form, a KYB questionnaire, a matter intake form for family law, and then drop them into any workflow with a single click.
This is particularly powerful for firms that run multiple practice areas or have different onboarding requirements across their departments. A private client team might have their own suite of forms; a commercial team another. Each template sits in the library, searchable and ready to deploy.
Deep Workflow Integration
Custom forms don't exist in isolation. One of the most important aspects of the latest upgrade is how tightly forms now integrate with Legl's wider workflow builder. Firms can browse, select, create, and duplicate forms directly from within a workflow step, meaning a form can be precisely positioned in an onboarding sequence, triggered at exactly the right moment in a client journey.
A firm might configure a workflow that includes an e-signature of TOBs, a CDD step, then automatically follows on with a specific form to capture additional information and documents. Or they might add a KYB questionnaire as a specific step for corporate clients with an additional form for corporate clients based in high-risk third jurisdictions. Custom forms slot into these sequences exactly where they're needed.
Expanded Answer Types and More Button Choices
The upgraded builder now supports a richer range of answer types, giving firms more precision in how they collect information. Yes/No questions can include an N/A option and an optional comment box. Date picker fields let clients select dates from a calendar rather than typing free text. Multiple choice options give clients clear, structured options rather than open-ended responses.
All of this contributes to more consistent, higher-quality data coming back to the firm, and a smoother experience for the client completing the form.
Form Versioning: Integrity When It Matters
Legl now implements versioning across all published custom forms. If a firm sends a form to a client and then updates that form for future use, the client sees and completes the version they were originally sent. This ensures data integrity and creates a clear, auditable record of exactly what was asked and when - something that matters in any compliance context.
Live Preview in Form Builder: See What Clients See
Firm administrators in Legl can now preview exactly how a form will appear to an end client before publishing it. The preview reflects the actual client experience including form layout, question order, and conditional logic in action so there's no guesswork about what clients will encounter.
Driving Faster Onboarding & AML Processes
The practical impact of these upgrades comes down to a few things that matter most to law firms right now: speed, consistency, and client experience.
Faster file opening. When the right information arrives in a structured, complete format from the moment a matter opens, there's less back-and-forth, fewer follow-up calls, and a faster path from instruction to active matter. Firms that use Legl's information-gathering tools consistently report meaningfully shorter onboarding times.
Consistent compliance. A form template library means that every team in a firm is asking the right questions, in the right format, every time. There's no drift between how different fee-earners or departments collect information which matters enormously when that information feeds into AML and KYC decisions.
No specialist required. One of the deliberate design decisions behind the upgraded custom forms builder is accessibility. Firms don't need to bring in consultants or specialist technical staff to build complex, conditional forms. The builder is designed to be intuitive for non-technical users. And where firms need support getting started, Legl's team is on hand to help.
The Experience for End Clients
It's easy to focus on the firm's perspective when talking about onboarding technology. But the client experience matters just as much. In a competitive legal market, a digital-first, seamless experience increasingly influences which firm a client chooses and whether they refer others.
A well-designed custom form, built with conditional logic and clear question types, doesn't feel like a compliance exercise. It feels like a professional, thoughtful firm taking the time to gather exactly what it needs - no more, no less. Clients move through the form quickly, aren't asked irrelevant questions, and can complete the process on any device at a time that suits them.
This is the difference between a client experience that feels digital and one that still feels like someone has attached a Word document to an email.
What's Coming Next
The custom forms upgrade is part of a broader roadmap of investment in how Legl helps firms gather information from clients. Our objective is to make client onboarding even faster for firms, reducing the number of manual touch points required, and pre-packaging all the information in a clear, helpful and consistent way for firms.
